How to Sync QuickBooks Desktop with Shopify

Setting up QuickBooks Desktop with Shopify can be a bit tricky, especially since Shopify made some changes that you should be aware of. In this post, we’ll walk you through what we learned from Shopify support, and the options available to keep your accounting and sales in sync.

The QuickBooks Desktop Connector App: Not So Easy Anymore

If you’re trying to sync your QuickBooks Desktop with your Shopify store, you might have heard of the QuickBooks Desktop Connector app. In the past, this FREE app in combination with the FREE app named Stocky, allowed seamless syncing between your QuickBooks and Shopify store without any extra costs.

However, as of May 4th, 2020, things have changed:

  • To use Stocky’s inventory management suite, a Shopify POS Pro subscription is required.
  • Stocky is not a hard requirement for the QuickBooks Desktop Connector app, however a Shopify POS Pro subscription is required.
  • That said, Shopify no longer supports free syncing between QuickBooks Desktop and Shopify stores.
  • To sync your data, you now need to have a Shopify POS Pro subscription OR use a third-party app, both of which come with a monthly fee.

The QuickBooks Desktop Connector App: Still Available, but With a Catch

While the QuickBooks Desktop Connector app is no longer publicly available, there’s a silver lining. You can still access it through a special link provided by Shopify support. If you want to use this app, you’ll need to reach out to Shopify’s customer support, and they can provide you with the link.

Important Note: Keep in mind that using this app might not be the best solution if you’re not using Shopify’s POS PRO subscription, as some of its features are designed specifically for in-person sales.

Exploring Third-Party Apps

If the QuickBooks Desktop Connector app isn’t the right fit for you, or if you don’t want to upgrade to Shopify’s POS PRO subscription, there are other options available. Shopify support recommended a few third-party apps that might be a better match for your needs:

These apps do come with a monthly fee, ranging from $29 to $139, but they could save you the hassle and provide better long-term solutions.

Final Thoughts

We know this change can be frustrating, especially if you were used to the free syncing that Shopify previously offered. But there are still plenty of ways to keep your QuickBooks Desktop and Shopify store working together smoothly.

Whether you choose to go with Shopify POS PRO in combination with the QuickBooks Desktop Connector app through the special link or explore third-party options, the key is finding what works best for your business.
